Privacy Policy for Odometer

The Short Version

Odometer is a private, local-first car logbook. On the Free and Lifetime plans, everything you log — your vehicles, records, reminders, photos, and attachments — stays on your device. There is no account and no sign-in, and we never see your data.

Premium is a subscription that adds optional cloud backup and AI receipt scanning. Only on Premium do you create an account (via Google or Apple sign-in) and have your data synced to our servers. To improve the app, we collect pseudonymous usage analytics and crash reports on all plans; you can turn analytics off in Settings.

Introduction

Odometer ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use the Odometer mobile application (the "App").

Information We Collect

Data You Create (stored on your device)

On every plan, the data you log is stored locally on your device. On the Free and Lifetime plans this data never leaves your device unless you choose to export it. This includes:

  • Vehicle Information: Make, model, year, VIN, license plate, odometer readings, and other vehicle details
  • Records: Fuel, service, repairs, expenses, costs, dates, line items, and notes
  • Photos and Attachments: Images of your vehicle, receipts, documents, and other files you choose to attach
  • Reminders: Maintenance reminders and notification preferences

Account Information (Premium only)

An account is required only for the Premium subscription (cloud backup and AI features). If you subscribe and sign in using Google Sign-In or Apple Sign-In, we collect the following from your authentication provider:

  • Name: Your display name from your authentication provider
  • Email Address: Your email address associated with your account
  • Profile Picture: Your account profile picture (if available)
  • Account Identifier: A unique identifier used to link your account and sync your data

Free and Lifetime users never sign in and never provide this information.

Automatically Collected Information

  • Usage Analytics: We use PostHog to collect pseudonymous usage data — app opens, screen views, feature usage, device type, and an approximate location (country/region) derived from your IP address. For Free and Lifetime users this is tied to a randomly generated device identifier, not to your identity. For Premium subscribers it is associated with your account identifier so we can understand the experience of signed-in users. PostHog data is processed on EU servers. You can turn analytics off at any time in the App's settings.
  • Crash and Error Reports: We use Sentry to collect crash reports and error logs to improve app stability. This may include device information, operating system version, app version, and technical error details. We do not intentionally include your personal data in these reports. Sentry data is processed on EU servers.
  • AI Feature Data (Premium only): When you use Quick Capture (AI receipt scanning), the image you capture and related vehicle context are sent to Anthropic's Claude API, through our server, to extract the details. See the Anthropic entry under Third-Party Services.

How We Use Your Information

We use the information collected to:

  • Provide and maintain the App's functionality
  • Track and manage your vehicle records and maintenance history
  • Send you maintenance reminders via local and push notifications
  • Back up and sync your data across your devices (Premium only)
  • Read receipts and fuel-pump details with AI when you use Quick Capture (Premium only)
  • Authenticate you when you sign in (Premium only)
  • Understand how the App is used so we can fix bugs and improve it
  • Send you email communications related to your subscription (Premium only — see below)

Email Communications

We only send email to Premium subscribers, since they are the only users with an account and email address on file. We use Loops as our email service provider, which processes emails in accordance with their privacy policy at https://loops.so/privacy

Types of Emails

  • Transactional Emails: Essential communications about your account, such as confirmations, security alerts, and responses to your requests. These cannot be opted out of while your account is active.
  • Service and Product Updates: Tips, product updates, and important announcements.
  • Marketing Communications (Optional): Promotional content. You can unsubscribe at any time using the link in any email.

Push Notifications

With your permission, we may send push notifications relevant to app functionality, such as maintenance reminders. You can disable push notifications at any time through your device's notification settings, or pause all notifications from within the App's settings.

Legal Basis for Processing

We process your information based on the following legal grounds:

  • Contract Performance: Authentication, cloud sync, AI features, and transactional emails are necessary to provide the Premium services you subscribe to
  • Legitimate Interest: We collect crash reports and pseudonymous analytics to maintain, secure, and improve the App
  • Consent: Marketing communications are sent only with your consent, which you can withdraw at any time by unsubscribing. You can withdraw consent to analytics by turning it off in Settings.

Data Storage and Security

On Your Device

On all plans, your vehicles, records, reminders, photos, and attachments are stored locally on your device. On the Free and Lifetime plans this is the only place your logbook data lives — it is never uploaded to us.

Cloud Storage (Premium only)

If you subscribe to Premium and turn on cloud backup, a copy of your account information and your logbook data (vehicles, records, reminders, readings, photos, and attachments) is stored securely on Appwrite servers located in Frankfurt, Germany (EU), and is encrypted in transit. This keeps your history safe and lets you restore it on another device.

Third-Party Services

Appwrite (Premium only): We use Appwrite as our backend to store account information and sync your data to the cloud, on servers located in Frankfurt, Germany (EU). See https://appwrite.io/privacy

Google Sign-In (Premium only): If you sign in with Google, authentication is processed through Google's OAuth 2.0 service. See https://policies.google.com/privacy

Apple Sign-In (Premium only): If you sign in with Apple, authentication is processed through Apple's Sign in with Apple service. See https://www.apple.com/legal/privacy/

PostHog: We use PostHog for pseudonymous product analytics, processed on EU servers. See https://posthog.com/privacy

Sentry: We use Sentry for crash reporting and error monitoring, processed on EU servers. See https://sentry.io/privacy/

Loops (Premium only): We use Loops to send account-related and product emails to subscribers. Your email address and name are shared with Loops for this purpose. See https://loops.so/privacy

Anthropic (Premium only): We use Anthropic's Claude API for the Quick Capture AI feature. When you use it, the receipt image and vehicle context are sent to Anthropic via our server proxy for processing and are not retained by Anthropic beyond the request. Apple (purchases): All purchases and subscriptions are processed by Apple through the App Store. We do not receive or store your payment details, and we do not use a third-party purchase processor.

Data Sharing and Disclosure

We do not sell, trade, or rent your personal information to third parties.

We may share information only in the following circumstances:

  • With Your Consent: When you explicitly authorize us to share specific information
  • Service Providers: With the third-party service providers listed above (Appwrite, Google, Apple, PostHog, Sentry, Loops, and Anthropic), who assist us in operating the App and are subject to confidentiality obligations
  • User Suggestions: If you submit a suggestion to improve the App (such as a custom manufacturer name), only the suggestion content is shared — no personal information is included
  • Legal Requirements: If required by law, court order, or governmental authority
  • Safety and Security: To protect the rights, property, or safety of Odometer, our users, or others

Your Rights and Choices

You have the following rights regarding your data:

  • Access: You can access all your data directly within the App
  • Export: You can export your records as a spreadsheet (CSV) for free on any plan, and as a PDF report on the Lifetime and Premium plans
  • Deletion: You can delete individual records at any time. Premium subscribers can delete their entire account and all cloud-stored data using the "Delete My Account" option in Settings; deletion is subject to a 30-day grace period, after which all cloud data is permanently removed. On the Free and Lifetime plans there is no account — deleting the app, or your data within it, removes everything.
  • Analytics Opt-Out: You can turn off usage analytics in the App's settings
  • Notifications: You can pause or disable notifications in the App's settings or your device settings
  • Account Management (Premium): You can sign out at any time, and revoke Odometer's access through your provider (Google: myaccount.google.com/permissions, Apple: Settings > Apple ID > Password & Security > Apps Using Apple ID)

Data Retention

Data stored locally on your device remains until you delete it within the App or uninstall the App.

For Premium subscribers, cloud-stored data is retained while your account is active. When you request account deletion, your account and all cloud data are scheduled for permanent deletion after a 30-day grace period, during which you can cancel by signing back in. After 30 days the data is permanently deleted and cannot be recovered.

Children's Privacy

Odometer is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us immediately.

International Users

If you are accessing the App from outside your country of residence, your information may be processed in different jurisdictions (our analytics, crash reporting, and cloud storage providers process data on EU servers). By using the App, you consent to the transfer and processing of your information in accordance with this Privacy Policy.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by updating the "Last Updated" date above and, where appropriate, displaying a notice within the App. Your continued use of the App after any changes indicates your acceptance of the updated Privacy Policy.

App Store Privacy Notes

Odometer does not track you across other companies' apps or websites, does not use the Advertising Identifier (IDFA), and shows no ads. The App Tracking Transparency prompt is therefore not required. Data collected to operate and improve the App is described above; analytics can be disabled in Settings.
