Information You Provide

When you use Odometer, you may provide the following information:

Account Information

When you sign in using one of our supported authentication methods (Google Sign-In or Apple Sign-In), we collect the following information from your account:

  • Name: Your display name from your authentication provider
  • Email Address: Your email address associated with your account
  • Profile Picture: Your account profile picture (if available)
  • Account Identifier: A unique identifier to link your account

This information is used solely for authentication purposes and to personalize your experience within the App. We do not access any other data from your authentication provider.

Vehicle and Maintenance Data

The following information is stored on your device and, when you are signed in, synced to the cloud:

  • Vehicle Information: Make, model, year, VIN, license plate, mileage, and other vehicle details
  • Maintenance Records: Service history, repairs, costs, dates, and notes
  • Photos and Attachments: Images of your vehicle, receipts, documents, and other files you choose to attach
  • Equipment Information: Details about vehicle equipment and accessories
  • Reminder Data: Maintenance reminders and notification preferences
  • Location Data: If you choose to enable location services, we may collect location information for mileage tracking or other features

Automatically Collected Information

  • Crash and Error Reports: We use Sentry, a third-party service, to collect crash reports and error logs to help us improve app stability and performance. This may include device information, operating system version, app version, and technical error details. No personally identifiable information is intentionally included in these reports.
  • Analytics Data: We use Firebase Analytics and PostHog to collect anonymous usage data to help us understand how users interact with the App and improve the user experience. This may include app opens, screen views, feature usage, device type, and general location (country/region). This data is pseudonymized and linked to your account identifier but does not include your name or email. PostHog data is processed on EU servers. Analytics collection is required for app operation and cannot be disabled.

How We Use Your Information

We use the information collected to:

  • Provide and maintain the App's functionality
  • Track and manage your vehicle maintenance history
  • Back up your data to the cloud and restore it if you switch devices
  • Send you maintenance reminders via local notifications
  • Improve app performance and fix bugs
  • Develop new features and enhancements
  • Authenticate your identity when you sign in
  • Personalize your experience (e.g., displaying your name and profile picture)
  • Analyze anonymous usage patterns to improve the App
  • Send you email communications (see Email Communications section below)

Email Communications

We may send you emails using your registered email address. We use Loops as our email service provider, which processes emails in accordance with their privacy policy at https://loops.so/privacy

Types of Emails

  • Transactional Emails (Required): Essential communications about your account and use of our services, such as account confirmations, security alerts, and responses to your requests. These cannot be opted out of.
  • Service Communications: Information about the App, including tips to help you get started, product updates, and important announcements.
  • Marketing Communications (Optional): Promotional content and newsletters. You can unsubscribe at any time using the link in any email.

Your Choices

  • Unsubscribe: Every marketing email includes an unsubscribe link at the bottom
  • Email Preferences: You can manage your email preferences through the App settings (coming soon)

Existing Users

If you created your account before January 28, 2026, you will only receive transactional emails. You will not receive service communications or marketing emails unless you explicitly opt in through the App.

Legal Basis for Processing

We process your information based on the following legal grounds:

  • Contract Performance: Authentication and transactional emails are required to use the App and provide you with our services
  • Legitimate Interest: We collect crash reports and analytics data to maintain, improve, and secure the App. We send service communications to help users get the most from the App.
  • Consent: Marketing communications are only sent with your consent, which you can withdraw at any time by unsubscribing

Data Storage and Security

Cloud Sync

When you are signed in, your vehicle and maintenance data is automatically synced to the cloud. This ensures your maintenance history is never lost and can be restored if you switch devices. All synced data is stored securely on Appwrite servers located in Frankfurt, Germany (EU), and is encrypted in transit.

If you prefer to keep your data local-only, you can sign out of your account. When signed out, your data remains solely on your device and is not uploaded to the cloud.

Account Data

Your account information (name, email, profile picture) and all synced data (vehicles, maintenance records, reminders, equipment, photos, and attachments) are stored securely on Appwrite, our backend service provider, located in Frankfurt, Germany (EU).

Third-Party Services

Appwrite: We use Appwrite as our backend service to store your account information, manage authentication, and sync your vehicle data to the cloud. Your account data, vehicle information, maintenance records, photos, and attachments are stored on Appwrite's servers located in Frankfurt, Germany (EU). Google Sign-In: If you choose to sign in with Google, your authentication is processed through Google's OAuth 2.0 service via Appwrite. Google may collect information in accordance with their privacy practices. You can review Google's privacy policy at https://policies.google.com/privacy

Apple Sign-In: If you choose to sign in with Apple, your authentication is processed through Apple's Sign in with Apple service via Appwrite. Apple may collect information in accordance with their privacy practices. You can review Apple's privacy policy at https://www.apple.com/legal/privacy/

Sentry: We use Sentry for crash reporting and error monitoring. Sentry may collect technical information about crashes and errors. You can review Sentry's privacy policy at https://sentry.io/privacy/

Firebase Analytics: We use Firebase Analytics to collect anonymous usage statistics. Firebase is a Google service and data is processed in accordance with Google's privacy practices. You can review Google's privacy policy at https://policies.google.com/privacy

Firebase Performance Monitoring: We use Firebase Performance Monitoring to track app startup time, screen rendering performance, and network request metrics. This data is collected anonymously and helps us optimize app performance. This service is part of the Firebase platform and data is processed in accordance with Google's privacy practices.

PostHog: We use PostHog for product analytics to understand how users interact with the App. PostHog data is processed on EU servers. You can review PostHog's privacy policy at https://posthog.com/privacy

Loops: We use Loops as our email service provider to send account-related, onboarding, and marketing emails. Your email address and name are shared with Loops for this purpose. You can review Loops' privacy policy at https://loops.so/privacy

RevenueCat: We use RevenueCat to manage in-app purchases and subscriptions. RevenueCat receives your anonymous user identifier and purchase transaction data to validate and manage your subscription status across devices. Anthropic: We use Anthropic's Claude API for the Quick Capture AI feature. When you use this feature, user-provided text, receipt images, and vehicle context are sent to Anthropic's Claude API via our server proxy for processing. Future Features

We are actively developing additional features for Odometer, which may include:

  • Third-Party Integrations: Integration with automotive services or data providers

When these features become available, we will update this Privacy Policy and notify you accordingly. These features will be optional, and you will have control over whether to use them.

Data Sharing and Disclosure

We do not sell, trade, or rent your personal information to third parties.

We may share information only in the following circumstances:

  • With Your Consent: When you explicitly authorize us to share specific information
  • Service Providers: With third-party service providers (like Appwrite for backend services, Google for authentication and analytics, PostHog for product analytics, Sentry for crash reporting, RevenueCat for subscription management, and Anthropic for AI-powered features) who assist us in operating the App, subject to confidentiality obligations
  • Legal Requirements: If required by law, court order, or governmental authority
  • Safety and Security: To protect the rights, property, or safety of Odometer, our users, or others

Your Rights and Choices

You have the following rights regarding your data:

  • Access: You can access all your data directly within the App
  • Deletion: You can delete individual records through the App. To delete your entire account and all associated data (vehicles, maintenance records, reminders, equipment, photos, and attachments), use the "Delete My Account" option in the App's settings. Account deletion requests are subject to a 30-day grace period, during which you can cancel the request by signing back in. After 30 days, all data is permanently deleted and cannot be recovered.
  • Export: You can export your data through the App's export functionality
  • Opt-Out: You can manage notification preferences in the App's settings
  • Location Services: You can enable or disable location services through your device settings
  • Local-Only Mode: You can sign out of your account to keep your data stored only on your device, without cloud sync
  • Account Management: You can sign out at any time through the App's settings. You can also revoke Odometer's access through your authentication provider's settings (Google: https://myaccount.google.com/permissions, Apple: Settings > Apple ID > Password & Security > Apps Using Apple ID)

Children's Privacy

Odometer is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us immediately.

International Users

If you are accessing the App from outside your country of residence, please note that your information may be processed in different jurisdictions. By using the App, you consent to the transfer and processing of your information in accordance with this Privacy Policy.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. We will notify you of any material changes by:

  • Updating the "Last Updated" date at the top of this policy
  • Displaying a prominent notice within the App
  • Sending you a notification (if you have enabled notifications)

Your continued use of the App after any changes indicates your acceptance of the updated Privacy Policy.

Data Retention

When signed in, your vehicle and maintenance data is synced to the cloud and retained as long as your account remains active. A copy of your data is also stored locally on your device for offline access.

When you request account deletion through the App, your account and all associated data (including cloud-synced vehicles, maintenance records, reminders, equipment, photos, and attachments) will be scheduled for permanent deletion after a 30-day grace period. During this period, you can cancel the deletion by signing back in. After 30 days, all data is permanently deleted and cannot be recovered.

If you sign out without deleting your account, your cloud data remains stored and will be available when you sign back in. Local data on your device remains until you uninstall the App or clear app data.

The App may contain links to third-party websites or services. We are not responsible for the privacy practices of these third parties. We encourage you to review their privacy policies before providing any information.

Google Play (Android)

This privacy policy is compliant with Google Play's data safety requirements:

  • Data collected: We collect your name, email address, and profile picture for authentication and personalization purposes
  • Data synced to cloud: When signed in, vehicle information, maintenance records, photos, reminders, equipment, and attachments are synced to Appwrite servers in Frankfurt, Germany (EU)
  • Data shared: Account and vehicle data is stored on Appwrite; authentication is processed through third-party providers (Google, Apple); anonymized crash reports are sent to Sentry; anonymous usage analytics are collected via Firebase and PostHog (EU); subscription data is managed through RevenueCat; AI feature data (text and images you submit) is processed by Anthropic
  • Data not sold: We do not sell any user data to third parties
  • Data deletion: Users can delete their account and all associated data through the App, subject to a 30-day grace period

App Store (iOS)

Odometer does not track users across other apps or websites and does not use advertising identifiers. The App Tracking Transparency prompt is not required as we do not engage in cross-app tracking.
